In the old days, collecting registrations was a hands-on, manual process. Luckily, now we have software like 360Player which can do the heavy lifting and automate the majority of the process.
In this article we will detail exactly how to use software to ensure your club can sign up new members with ease.
1. Create Your Products
Inside 360Player there are essentially two kinds of registration forms. Forms that can be used to collect member information, or forms that can be attached to a product so that members can pay their club or team fees at the same time they register!
Collecting payments is another essential aspect of running a sports club- and nobody wants to feel like a debt collector! Adding your fees to your registration form largely automates the payment collection process, and it’s super easy.
First, simply create products in the 360Player system. A product could be anything like a uniform fee, summer camp, or club membership fee! You also have the option of adding different payment options if you’d like the product to be a one-time purchase or a subscription.
2. Create Your Registration Form
If you thought creating products was easy, creating a registration form is equally simple. From the menu press registrations, and then the create button and you’re in! Simply name your registration, then add which data you’d like to collect.
First name, last name, and email are typically included from the start. However, the options for data collection are endless. You can even add custom fields if you’d like to ask multiple choice questions, collect short answer responses, or anything else you can think of.
Then you have the ability to add your product if you would like! This step is optional, but it can be a great way to automatize your payment collection process. 360Player also has nice dashboards so that you always have a complete overview of your club’s financials.
Lastly you have a few options to decide who can access the registration forms and who can submit.
3. Share Your Registration Links
After you've created your registration form, you’ll get a link that you can share with your members! Share this link via social media, email, 360Player, or whatever channels you use to communicate with members or potential members.
Once your registration is out there, you can sit back and watch the responses roll in. And if you’re collecting your club fees in the process, you can rest easy knowing your membership fees will be paid on time.
4. Common Registration Best Practices For Clubs
Depending on the size of your club, different registration flows may be practical.
For example, some clubs use one registration form to have all of their members sign up, with a question on the form where members select which team or age group they’d like to join. The advantage of this is that you only need to make one registration for the entire club! The downside is there could be a little work involved to assign people to groups afterwards. To do this, you can simply filter the contacts who have submitted the form by their answers and assign them to the right groups.
Other clubs may prefer that each group has its own registration form. This is advantageous because registrants can join the correct groups automatically, but it can be more difficult to ensure every member fills out the correct form.
Some clubs who hold tryouts may have a tryout registration first where members sign up for tryouts and pay a tryout fee. From here, admins can invite players to register for specific groups, based on how things went with tryouts.
Regardless of the flow you use, 360Player offers flexibility throughout the registration process with software that is easy to use and affordable. In fact, all payment and registration features are included in the 360Player core package starting at just $99 per month, regardless of the size of your club! This plan also includes your club’s very own member app, modern website, communication tools and more.
